When running payroll in multiple states, employers may receive notices from state tax agencies about outstanding reports or tax liabilities. These notices are official communications that require attention, but they're often temporary situations that Warp actively resolves.
Timely reporting of Tax Notices by Employers
Warp automatically files and manages state tax accounts and related requirements for you. However, tax notices happen. If you get a notice in the mail regarding any forms in this list (or any other form), please upload it on your Warp admin dashboard. Our tax operations team will handle it for you. If a certain notice is not within our scope, we can provide resources to resolve the notice.
We strongly recommend uploading tax notices as soon as you receive them so our team can best address any issues and keep your business compliant.
Common Reasons for Tax Notices
Pending State Tax ID Assignment
When you begin employing in a new state, there's typically a processing period while the state assigns your tax IDs
During this waiting period, Warp may be unable to remit certain tax payments or file returns
This is especially common if you started running payroll near the end of a tax quarter
Once IDs are assigned, Warp will process any pending payments and resolve related notices
Missing Information or Pending Employer Action
Some state filings require specific business information that must come from you
Warp will notify you if we need additional details to complete state filings
Notices may arrive while this information is being collected
Informational or reminder notices
States often send reminder notices about upcoming withholding or unemployment tax returns
These notices are typically informational and require no action from you
Warp automatically handles these quarterly filings as long as your tax information is complete in our system
You can safely disregard these reminders
What to Do When You Receive a Notice
Submit all tax notices (except standard reminders) in Warp from your Tax and Compliance page and then clicking 'Report tax notice'
Include a clear photo or scan of all pages
Keep the original notice for your records
Don't respond to the notice directly - let our tax operations team handle it
How Warp Handles Notices
When you send us a notice, we:
Confirm receipt of your notice when status is moved from 'Uploaded' to 'Under Review'
Review the specific issue
Take necessary actions to resolve it
Keep you updated on important developments
Send confirmation once the notice is resolved
