Setting up Thatch and your monthly deadlines

Plan on 1 to 3 weeks from the day you tell us you want Thatch to the day coverage starts. The one hard rule is that individual plans only start on the 1st of a month and they cannot be backdated, so the calendar drives everything.

The setup steps

Setup happens inside Warp. You are not creating a separate account somewhere else and you are not connecting two systems yourself.

  1. Tell us you want Thatch. Email benefits@warp.co. Starting here is what gets you partnership pricing and the payroll connection.

  2. We turn on Thatch onboarding in your Warp account. It runs inside Warp, so you stay where you already are.

  3. Set your monthly allowance. This is the dollar amount you give each employee per month. It is your budget, and it is the number that drives everything else.

  4. Your employees are already there. Anyone on your Warp payroll shows up on the Thatch side automatically. Nothing to upload.

  5. Send the enrollment invites. Employees cannot enroll until they are invited, so do this as soon as your allowance is set.

  6. Employees enroll. They pick their own plan. Thatch's licensed agents help them at no extra cost to you.

  7. We connect the plans to payroll. Nothing needed on your end. Deductions start showing up in Warp.

Monthly deadlines

For coverage starting the 1st of next month:

  • Your setup complete: by the 15th of this month

  • Employee invites sent: right after your allowance is set

  • Employees finish enrolling: before the last four business days of the month

  • Coverage starts: the 1st of next month

If an employee finishes enrolling inside the last four business days, their coverage starts the month after next, not next month. This is the most common surprise we see, and there is no way to fix it after the fact. Push your team to enroll early.

We watch this for you. If someone on your team has not finished enrolling as the cutoff gets close, we will tell you while there is still time to do something about it.

Things that will slow you down

Raise these with us now rather than later:

  • Employees who are still 1099. Thatch only covers W-2 employees. See Article 3.

  • Employees currently on a subsidized marketplace plan. They will lose the subsidy.

  • Employees over 65 on Medicare. They can still use their allowance, but for Medicare premiums rather than a marketplace plan.

What employees need

About 10 minutes, and for anyone they want to cover: full legal name, date of birth, and Social Security number.
